What SmartFlo connects to
Keep your accountant's software, your card provider and the website you already have. This page lists everything SmartFlo Systems connects to and how each connection is set up.
SmartFlo Systems is built to sit alongside the tools you already pay for, not replace all of them. It connects to Xero and QuickBooks for your books, Stripe for card payments and deposits, your own TextMagic or Twilio account for texts, and any website platform that lets you paste a line of code. Outgoing webhooks and a lead capture endpoint cover everything else.
Accounting
- Xero. Invoices, credit notes and CIS deductions are pushed across so they match your bank transactions.
- QuickBooks. Same connection, same one-time setup in Settings, invoices land ready to reconcile.
- CIS handled correctly. Labour, materials and plant are split, and the 20%, 30% or gross deduction is applied before the invoice is sent.
Payments
- Stripe. Card payments, booking deposits and invoice payment links, paid straight into your own Stripe account.
- Deposits on booking. Take a deposit at the moment a customer books, so no-shows cost you nothing.
- One gateway for every app. Connect the card account once; booking, quotes, invoices and proposals all use it.
Texts and email
- TextMagic or Twilio. Your own account, your own sender name, your own per-text rate. SmartFlo never marks SMS up.
- Your own sending domain. Verify your domain so quotes, campaigns and job updates arrive from your address, not ours.
- Consent and unsubscribe built in. Marketing and operational messages are kept apart, with a full consent record for UK GDPR.
Website platforms
Widgets install with one line of code on WordPress (including Elementor and Divi), Shopify, Squarespace, Wix, Webflow, GoDaddy, Joomla, Drupal, HubSpot CMS and plain HTML. There is no plugin to install and no theme file to edit.
Developers and other systems
- Outgoing webhooks. Signed events for new leads, signed quotes, completed jobs, paid invoices and more.
- Lead capture endpoint. Push a lead into Pipeline CRM from any form, advert or landing page.
- Capture script. A drop-in snippet that turns forms already on your website into tracked leads.
- Company data lookup. UK company and officer checks via Companies House for lead qualification and CIS verification.

Does SmartFlo work with Xero and QuickBooks?
Yes. You connect your accounting account once in Settings, and invoices — including CIS invoices with the deduction already applied — are pushed across so they reconcile against your bank feed.
Do I have to replace my website?
No. Widgets are added to the site you already have by pasting one line of code, on WordPress, Shopify, Squarespace, Wix, Webflow or hand-built HTML.
How do text messages work?
You connect your own TextMagic or Twilio account, so texts leave from your sender name at your own rate. SmartFlo does not resell or mark up SMS.
Can SmartFlo send data to my other systems?
Yes. Outgoing webhooks fire on events such as a new lead, a signed quote, a completed job or a paid invoice, so you can feed another CRM, a spreadsheet or an automation tool.
Is there an API for capturing leads from elsewhere?
Yes. A lead capture endpoint and a drop-in capture script let any form, landing page or advert push straight into Pipeline CRM.

Connections are made once in Settings and then shared by every app you use, so you never enter the same key twice.
